Any communications with NearTopia must follow

this communications protocol or it will be ignored or deleted.

Please Read the following, as instructions, mail address, and emails are included.

The reason we formalize all communications is to cut down on spam and to ensure legitimate intent of contact.  If the following formats are not followed, our electronic system will automatically delete any communications to us, and you will not be heard.

Formatting structure:

All correspondence communications (mail and email) must have the following format.

When identifying yourself in the header the following formats only, are recognized.

Mr (name here), Mst (name here), Mrs (name here), or Ms (Name here) only.

The legend is as follows:  Mr (Mister) designates a married Male, Mst (Master) Designates an Unmarried Male, Mrs (Misses) Designates a Married Female, Ms (Miss) Designates an Unmarried Female.  All other Self Designations must be listed separately. including nobility titles, notoriety titles, government or military Ranking titles, etc These are known as Personal Status Designations (PSD's)

Personal Status Designation is added after the Name, Not before the name!

I.e. (Mrs N.K. Newbie, Dr.)  =Not=  (Dr. N.K. Newbie.)

Next is Department of representation if representing a country or military branch of a country.  Which is placed Directly under your name.

Next is followed with "To:" which under this is the designation of the recipient.  A polite greeting, Followed by the body of the letter.  Followed by a closing salutation.

  Who you represent, Representing Myself = (yourself and not representing a country, organization or business), or the designation of your nation, organization or business, followed by position,  Again stating name, then email or contact information, such as physical mailing address and any web contact in last line.

Yes it may seem extreme perhaps, or overly formal, however you are communicating with a nation of people, and as such the formalization is required for recognition.  This first off eliminates almost all greyware, malware, and spam as anything not formatted in this manner will be deleted without being read, automatically.

Second: By taking time to format the letter in said structure you, hopefully, have given some thought as to the nature of your communication and why you want to contact our collective.

Third:  All communications with NearTopia on an official manner is public records to any NearTopian Citizen for audit.  If our system does not automatically delete your letter it is then automatically archived into public records.

and Last: By formatting things and not being informal, it is also a reminder to our citizens, who hold any official position, that they are to take all matters seriously, everything is to be done professionally, and that they are in fact representing all of NearTopia and they have obligations to represent the position with respect, honor, and moral character for which the person was elected into position.  So it is as much, if not more, a reminder on our side then it is for your end.

  Please Keep in mind, though this seems intimidating, we are actually a very friendly nation of people and do not discourage communications from foreign individuals who seek more information or correspondence with our government and/or citizens. 

  Even our own citizens are required to format their communications to office stations.  You may request an audience with position holders or have personal communications on a personal level, however anything dealing officially and with any station concerning citizens other then self representation, must be formal and documented.  Things dealing on a personal level do not need to be documented.

Your Rights as a foreign person under NearTopian Law:

  If at any time a representative of NearTopia has been unprofessional, hostile, or acted questionable towards you, please contact our government audit office, any of the three forums will due, However a separate forum then what the person represents is standard practice.

  There are three forums Red, Blue, and Green for any government station.  Red represents economic and business infrastructure, Blue represents humanity and social law, and Green represents environmental regulations, resource and land management.

  The Government Audit Office is overseen by all NearTopian Citizens so any cases brought to this office will not be "swept under the rug" by government officials.  It is a designated branch to place checks and balances of our government structure and all complaints will be seen through, giving a means of representation for all individuals.
